A reliable OEM project starts with a clear baseline model, a written customization matrix, approved samples, and a process for managing changes between quotation and mass production.
Define the OEM objective before discussing colors
Customization should support a real market need: local language, brand consistency, channel packaging, installer workflow, or service requirements. Start by defining the target customer, sales channel, installation environment, and expected support model. This keeps the project focused and prevents decorative changes from hiding more important documentation and usability needs.

1. Freeze the baseline product configuration

2. Build a customization matrix
Use one table or checklist to record every requested change, the responsible party, the approval method, and whether the change affects cost, lead time, documentation, packaging, or service. Separate cosmetic items from functional items. Functional changes require deeper technical review and may affect the validation scope.

3. Control artwork and labeling
Provide vector artwork, color references, minimum logo size, and prohibited placements. Ask the supplier for a digital proof and a production-representative sample. Confirm that required safety and product information remains legible and is not displaced by branding. Certificate ownership does not need to be presented as a marketing claim; documentation should be handled for the intended business use and market review.
4. Treat manuals as part of the product
A technically sound product can still generate returns if the manual is unclear. Review installation prerequisites, start-up sequence, app or interface instructions, alarms, shutdown, storage, maintenance, and service escalation. The manual should match the delivered hardware and software revision, not a generic family description.
5. Approve samples with a written checklist
Do not approve an OEM sample through photographs alone. Create a checklist covering appearance, labels, included parts, packaging, interface language, document revisions, and basic operating workflow. Record open items and require closure before production approval. If changes occur later, the supplier should identify the affected records and obtain approval.
